GENERAL

You and the venue agree to the terms and conditions of the room rental. The name of the company that runs the venue (officially Livsakademi Oy Ab, hereinafter referred to as ‘Billnäs Gård’ or ‘The Venue’) and with which the agreement is concluded, is stated in the booking confirmation. Unless a special agreement is concluded, the following rules apply. Special rules apply for conferences and group bookings.

BOOKING AND CONFIRMATION

A booking is binding once it has been confirmed and you have received a booking reference number. You may receive this verbally, in writing, or through our booking system. When you make a booking, you must state your name, address, email address, arrival and departure time, and payment method. It is important for you to provide your email address so you can receive your booking confirmation, and so you are able to check out online. Different terms apply to different rates; please see the detailed pricing information. In order to book a room at our venue, you must be 18 years of age or older. If you book a room for a minor, you are responsible for that person, whether you stay in the room with the minor or not. PLEASE NOTE: At Billnäs Gård minors under the age of 18 are not permitted to stay overnight unless in the company of a parent or legal guardian. A permission document is not sufficient. For security reasons, only employees and checked-in guests have access to our venue rooms and other reserved areas.

ARRIVAL AND DEPARTURE

Arrival and departure times may vary depending on the booking and price agreements.

CANCELLATIONS AND NO-SHOWS

Cancellation terms depend on the price agreed at the time of booking. Read the information in the proposal carefully. Unless otherwise agreed when making a booking, or where other terms apply to the selected rate, cancellations are permitted up until 4 weeks before the day of arrival. If you do not show up and you have not cancelled the booking in advance, or if you cancel after that point in time, you will be fully charged.

EARLY DEPARTURE AND INDEFINITE STAY

If you have booked a space or participation to an event but leave the venue earlier, this will not give rise to a price adjustment. Contact the venue and notify them about your departure. If you stay at the venue for an indefinite period of time and extend your stay on a night-by-night basis, you must notify the venue of your departure by 18:00 the day before your departure. Otherwise, you will be required to pay an extra night. If the venue does not have any rooms available, the venue shall inform you of this no later than 18:00 the day before you have to leave the venue.

THE VENUE’S OBLIGATIONS AND YOUR REQUESTS

If the venue cannot offer you a room as agreed, you are entitled to, at no extra cost, a similar or better room in the venue or in a venue of similar standard. Inform the venue staff of any requests you have when you make your booking so the venue can be prepared for your stay. Our venues have non-smoking rooms. If a guest violates the non-smoking rule, the venue has the right to demand payment from the guest for any costs arising thereof. This applies also to e-cigarettes. If you wish to bring a pet with you, please notify the venue when booking.

GUEST’S RESPONSIBILITY FOR DAMAGE

The guest is responsible of any damage, caused intentionally, by accident or negligence. The damages caused by children or pets are also to be covered by the guest. The amount of the compensation is based on by the severity and quality of the damage.

BEHAVIOUR IN THE VENUE

We follow good manners and regulations at the venue. If you should break these rules, you will be immediately removed from the premises. In this case the venue has no obligation to return the payment of the accommodation or any purchased services to the guest.

PAYMENT

Payment in advance is required for certain price offers. The prepaid amount will be deducted from your final bill. If the booking is cancelled after the cancellation deadline, the venue is entitled to withhold a booking fee/advance payment. The room bill must normally be paid upon arrival at the venue. Please be advised that our venue does not accept payment in cash. Our venue accepts VISA or MasterCard credit and debit cards. The venue is not obliged to accept credit and debit cards, cheques, vouchers, or foreign currency unless the venue offers this service.

VALUABLES AND LUGGAGE

As a general rule, your valuables may be kept in the venue’s safe. Do not leave valuables or luggage unattended in the lobby when checking in or checking out, having breakfast, or waiting for a taxi. For security reasons, the venue is under no obligation to store items of high value or items that could jeopardise the safety of our venue staff or guests. The venue is not liable for any items you keep in your room. The hotel isn’t accountable for any damage or disappearance of vehicles or their contents.

YOUR OWN SAFETY

Always familiarise yourself with emergency exits and fire extinguishers. See the instructions posted on the by the door of your guest room.

PROCESSING OF PERSONAL DATA

Billnäs Gård processes personal data provided by those who make use of our services and products. Billnäs Gård is the data controller for the personal data that relates to your booking. This processing of personal data will be completed in accordance with Billnäs Gård’s Privacy Policy. Please read our Privacy Policy (in Finnish) to understand how Billnäs Gård treats your personal information for the purpose of managing your reservation, as well as your rights associated with this treatment, retreats or events.
